How we handle your data

The question behind most calls we get is some version of "is ChatGPT confidential?" This page answers the version that matters to you: what happens to your files when ModelSide builds something for your office. It is written to be checked, not to persuade. The short version is that on-premise AI keeps your data on hardware you own and a cloud tool does not. The sections below say what that means in practice, including what we can see and when.

Where your data lives

Your files stay where they are today, whether that is the workstation, your office server, or the folders and inboxes you use. The tools we install read from those locations. They do not copy your documents to a new system somewhere else.

The models run on the machine in your office. A question typed into ModelSide Chat is answered by the model on that workstation. No part of the question, the document or the answer is sent to ModelSide or any cloud.

Private search builds an index of your documents so questions can find the right passage. That index is stored on the same machine as the documents it describes.

For private deployments managed with an IT team, the same rule holds. The models run on your servers or in your virtual private cloud, under accounts your IT staff control.

The only data that leaves your office is what you send us yourself. An email or a contact-form message from this site goes to info@modelside.xyz.

What we can and cannot see

During setup we work on your machine with the access you grant. We see what is on the screen while we work and nothing after we log off.

We do not keep copies of your documents. When we need a sample file to test a tool, you choose it. It stays on your machine and is removed when testing ends.

We do not hold a standing account on your workstation unless you ask us to keep one for support. If you do, it is named in the support agreement, and you can remove it at any time.

The tools we build do not send usage, prompts or documents to ModelSide. There is nothing in them that reports back.

This website uses analytics to measure page visits; what it records is described in the cookie policy. The contact form and SMS program are covered in the privacy policy.

Remote support

Remote support sessions happen only when you start them. You open the session, you can watch what is being done, and you end it. We do not connect to your machine on our own.

A remote session covers the things that do not need a visit. A model update, a settings change, a fix for a tool that stopped working. Anything that needs hands on the hardware is done on-site. For us that means New York, New Jersey and neighboring states, or further for a larger project. We reply within one business day.

A machine that never connects to the internet is fine; we then do updates and fixes on-site.

Backups and updates

Your documents are not moved, so the backup you already have for them keeps covering them. Nothing we install changes where your files are stored.

The AI layer on the workstation (the models, ModelSide Chat, the search index and the settings) can be rebuilt from scratch. A problem with it never means losing your files. A local backup of the settings and index, so a rebuild is faster, is an optional line item in the written scope.

Windows and driver updates are scheduled with you, not pushed in the middle of a workday. They need an internet connection, so on a disconnected machine they happen during an on-site visit.

Open-source models improve often. Under support we test a newer model against your own tasks before installing it. We keep the previous one until you are satisfied with the change.

Agreements we sign (BAA, NDA)

For medical and dental practices we sign a Business Associate Agreement before we touch anything that contains patient data. Built to support your HIPAA obligations: patient data is processed on hardware you own, nothing is sent to ModelSide or any cloud, and we sign a Business Associate Agreement.

For law firms and any other office we sign an NDA. If you want the NDA in place before the first call, say so and we send it.

The written scope names every data source the tools will read: which folders, which inboxes, which exports. Nothing outside that list is connected without a new agreement in writing.

A BAA covers ModelSide's obligations as your vendor. Your own policies, staff training and access rules remain yours. If you want a one-line staff policy naming the approved assistant, we will draft it with you.
